This policy explains how Maine Coon Grove (“we”), based in Dallas, Texas, USA, handles personal information collected through this website and during an adoption. Privacy questions and requests: contact@mainecoongrove.com or our contact page.
1. Information you give us
- Inquiries (contact form): your name, email address, phone number if you provide it, the topic of your message, your message, and the kitten you asked about, if any.
- Kitten applications: your name, email address, phone number, and full address (street address, city, state/region, ZIP/postal code and country); your kitten preferences; information about your home and living situation (housing type, ownership, landlord permission, children, other pets, indoor/outdoor plans); your experience with cats and your veterinarian; typical time away from home; care and homecoming preferences; and your confirmations.
- Emails and messages: any correspondence you send us, including the email address and phone number you use.
- Adoption records: your written reservation / adoption agreement (including your full legal name and address), reservation and payment status, pickup or transport arrangements and health-guarantee correspondence relating to your kitten.
2. Information collected automatically
- Spam and abuse protection: our forms use hidden-field and timing checks. Your IP address is used to apply short-lived submission limits. It is kept only in a one-way encoded form for about an hour and is not saved with your application or message.
- Security and server logs: our hosting provider keeps standard technical logs (such as IP address, browser type and pages requested) for security and performance.
3. Cookies and sessions
This website does not use advertising or analytics cookies. WordPress sets essential session cookies only when someone logs in to manage the website. If a kitten profile includes an embedded video, the video provider (for example YouTube or Vimeo) may set its own cookies when you play it.
4. How we use your information
- to respond to your questions and assess your application, including reasonable follow-up questions
- to identify applicants, and to prepare your written adoption agreement using your full name and address
- to arrange homecoming, pickup or delivery to your address
- to arrange reservations, payments, pickup or transport
- to send updates you have asked for about your kitten
- to administer the health guarantee
- to keep legal and business records, including adoption agreements, as required for our business and by law
- to prevent fraud, and to protect this website and our families from spam and misuse
5. Sharing
We do not sell your personal information. We share it only where needed to operate this website or complete your adoption:
- Hosting: our website hosting provider stores the website and its data.
- Email: our public email address is currently provided by Google (Gmail), so messages you send to it are processed under Google’s terms.
- Veterinary, breeding and transport providers: the veterinarian, breeding program, driver, airline, cargo agent or flight nanny involved in your kitten’s care and travel, limited to what they need.
- Payment processors (future): once online payment is offered, payments will be handled by a third-party processor under its own privacy policy. We do not ask for, receive or store full card numbers on this website.
- Legal requirements: where disclosure is required by law or needed to protect rights, safety or property.
6. Retention
- Inquiries and applications that do not lead to an adoption: kept for 12 months after the last meaningful contact.
- Adoption-related records (including agreements): kept for as long as reasonably necessary for the health-guarantee period, customer support, accounting and tax obligations, fraud prevention, dispute resolution and applicable legal obligations.
- Security data: the encoded IP address used for submission limits expires after about an hour.
After the applicable retention period, we delete or anonymise the information where reasonably practical.
7. Access, correction and deletion
You can ask for a copy of the personal information we hold about you, or ask us to correct or delete it. Send your request to contact@mainecoongrove.com or our contact page. We may need to verify your identity before acting on a request, and we may keep information we are required to retain by law.
8. Security
Applications and messages are stored privately in our website’s administration area and are accessible only to authorized staff. The website uses an encrypted connection (HTTPS).
9. Children
This website is not directed to children, and applications must be made by adults.
10. Changes
We may update this policy. The date below shows when it was last revised.
